Events Coordinator
Full Time Employee, with benefits
Albany, NY

Objective/Summary of Responsibilities: 

FuzeHub is a non-profit organization that serves small-to-medium-sized manufacturers by connecting them to New York State resources and programs. The successful candidate for this position will coordinate events across New York State while collaborating with co-workers, consultants, and the leadership team. We are looking for a creative problem-solver and team player with a positive attitude, attention to detail, and strong organizational and time management skills. The right candidate will be a person who likes working in a fast-paced, dynamic environment and who has the ability to balance and manage multiple requests for assistance from a variety of sources.

Job Functions & Tasks: 

Coordinate and plan FuzeHub’s events across New York State, ensuring brand reputation and commitment to excellence to further promote the NYS innovation economy while driving leads and event attendance and participation.

• Support the day-to-day management and logistics of all events: secure location/hotel blocks, registration, food/bev, set-up and breakdown, sponsorships, speakers, and presenters
• Manage event calendar, project deadlines, and timelines
• Source and/or bid third-party vendors for event needs
• Catalog invoices and work closely with Accounts Payable to coordinate event budgets
• Inventory, coordination, and preparation of event materials
• Create and implement event marketing plan with Marketing Team, ensuring promotional efforts (web pages and materials, registration forms, etc.) are updated through event lifecycle
• Coordinate strategies to work with partners, marketing multipliers, and sponsors on event promotion
• Travel to and from event venues for walkthroughs and vendor meetings 
• Participate and travel to community events and coordinate display booths
• Assist with posting event activity across social media platforms 
• Measure and track the effectiveness of various event tactics and analyze data post-event for effectiveness
• Update FuzeHub website including all back-end data entry functions, and update recent news and monthly calendar of events
• Develop and implement ways to drive new attendance and excitement at events
• Coordinate comprehensive post-event follow up to completion (scheduling event debriefs, post-event communications, and financial closeout
• Develop and manage email distribution lists for event targeting
• Manage event software
• Assist with staff event travel and registration
• Work closely with Executive Director/Management to identify best practices and continuous improvement
• Assist with the identification of new event opportunities and event partnerships that align with FuzeHub’s mission
• Responsible for the overall success of FuzeHub’s events

Requirements & Qualifications (including education, special knowledge, certifications, skills, etc.):  
• 5+ years of event planning experience and proven success
• Creative thinker with experience using technology and design tools
• Must have a service-oriented attitude, with the ability to handle multiple incoming requests on a daily basis and schedule them into your self-prioritized workflows
• Ability to travel and work a flexible schedule

Preferred Qualifications
• Experience in web applications (WordPress), design, and database management.  E-marketing a plus

Preferred Designation
• Certified Meeting Planner (CMP)

Physical Characteristics
• Ability to lift and carry 30 pounds for transport of marketing and tradeshow materials
