Are there implications on event safety/security caused by the pandemic, aside from preventing spread?

Yes. For example, moving some events to virtual/hybrid increases cyber/hacking risks (e.g. Zoom vs. Microsoft Teams). Also, I’m sorry to say, due to the U.S. presidential election—since there is no standard federal government response to COVID-19 (e.g. national mask mandate, testing/tracing)—there is too much inconsistency across the country (state, local, federal). The risk of being patient zero and infecting others is a huge risk.

What can meeting professionals do to limit the impact of some of the effects?

We need to mitigate any potential risks as much as we can—sponsors offering mask/hand sanitizer kits/reusable water bottles, making sure that any meeting contracts include wording on proper cleaning procedures and hotel/convention center mitigation efforts. We need to offer no-contact temperature checks for all in-person events, to make sure that attendees feel safe attending. Provide as much info (e.g. know-before-you-go emails) as possible to the attendees, including links to trusted international health experts and government websites.

How can meeting professionals best ensure a secure experience given the rise of videoconferencing, such as Zoom?

I would prefer/offer to use Microsoft Teams, WebEx or Cisco as video conferencing platforms only, due to the recent Zoom [vulnerabilities]. Make sure to work with the IT/tech staff to ensure that all anti-virus software is continually updated.

What value do you find in being part of the MPI Safety and Security Special Interest Group?

Being able to hear from the other group members about what they’re encountering, and any/all lessons learned, latest contract wording/templates, etc.

What does safety and security look like for the 2021 meeting/event landscape?

Making sure that any/all attendees feel safe and willing to travel to attend meetings, which would mean that a safe COVID vaccine has been made available and that attendees offer a doctor’s proof of vaccination. Making sure that all event contracts include duty-of-care wording/clauses (e.g. all hotels/convention centers policies include training staff on cleanliness procedures, etc.).
