Membership Committee

The Membership Committee is responsible for spreading the excitement of our Minnesota Chapter! Connecting new and prospective members with Chapter resources, networking opportunities, and other avenues for engagement to provide the ability to maximize your investment of time and talent.

Member retention, recruitment, and leadership development are some of the most important elements to a successful organization. The Minnesota Chapter of MPI believes in making sure new and existing members feel welcome and have immediate opportunities to learn and grow as a part of the meeting planning/hospitality industry.

This committee offers varying levels of time commitment to fit your schedule as detailed below, and is charged with the responsibility of growing our chapter, and retaining members through phone, in-person, and email connections.

Vice President of Membership

This position assigns committee chairs and provide oversight to the Membership, Recognition, and Leadership Development committees. This involves developing new member welcome outreach initiatives and promoting twice-yearly new member orientations that drive engagement and overall value to members ultimately creasing membership and volunteer numbers for our chapter.  

Director of Membership Care and Retention

This position is responsible for developing and maintaining an active and ongoing campaign to retain MN Chapter members. Oversees the Retention Program, New Member Ambassador Program, Member Up Close, Membership 101, Member Mingles, EMPI Awards Nominations and Chapter Assessment Survey. Creates and executes a strategic plan to meet/exceed the annual membership retention goal as set by the MN Board and MPI Global.

Director of Membership Recruitment

This position is responsible for developing and maintaining an active and ongoing campaign to recruit new MN Chapter members. Oversees Recruitment Program, Student Membership Program and Affiliate Recruitment Program. Creates and executes a strategic plan to meet/exceed the annual membership retention goal as set by the MN Board and MPI Global.

Director of Leadership Development

This position is responsible to develop and showcase your leadership skills through succession planning. This includes promoting volunteering within the chapter and engaging volunteers through all team meetings and leader of the month programs.


Committee Volunteer Positions

Communications Liaison: Liaison between Membership and the Marketing & Communications committees. Writes monthly articles for Membership section of the newsletter, and assists with membership-related social media posts. 1-2 hours per month.  

 Membership Care and Retention positions 

Chair of Member Engagement: Oversees the member engagement committee, recruits volunteers for tasks, delegates tasks to committee members. 2 hours per month.  

Membership 101 Volunteer: Plans and executes (2) Membership 101 events per year including the promotion of the event.  Typically occur in the fall and spring that are conjunction with a Mingle. 1-2 hours per month.  

Mingles Volunteer: Plans and executes 2 Member Mingles per year including the promotion of the event. Typically occur fall, spring and summer. These can be done jointly with Membership 101 or a monthly meeting. It can also be done with other organizations. 1-2 hours per month.  

New Member Ambassador Volunteer: Oversees the New Member Ambassador Program to ensure participants are engaged. Work with Leadership Development to recruit ambassadors and assign them to the new member. Complete event submission forms for the Ambassador Program events. 1-2 hours per month.  Additional hours needed in the beginning of the year.

Chair of Recognition: Work with Association Management Co. (Synergos) to confirm date to open annual EPMI Award Nominations on MPI MN Chapter website. Promote and seek EMPI Nominations. Recruit and select an Excellence in MPI Award Judging Committee. Tally EMPI Award nominations and provide recipients’ names to V.P. of Membership.  The majority of work is done Jan-May. Average 1-2 hours per month with additional hours in April and May during peak EMPI activity period.

 
Excellence in MPI Volunteer: Assists with Excellence in MPI Award process. The majority of work is done Jan-May. 1-2 hours per month, with additional hours in April and May during peak EMPI activity period. 

 
Up Close Volunteer: Solicit MPI members for Up Close & Personal Interviews from Suppliers, Planners and Students, to be published in the monthly MPI e-newsletter and on Social Media.   Profile interviews are submitted via the Copy Submission Form on the MPI MN website.  Track interview history to avoid duplication (3 years between interviews minimum). Portrait photos for articles are pulled from the Chapter Directory (if available; if not, ask the candidate for photo). 1 hour per month.  

Monthly (Grace) Calls Volunteer: Receives a monthly report of grace/lapsed members and calls to ask about re-joining. Results are reported to the Membership Committee. 1 hour per month.  

Membership Recruitment positions

Chair of Recruitment: This chair position supports the Director of Membership recruitment for office visits, membership drives, referral program and monthly prospect/expired communications.  2-3 hours/month.

Monthly (Prospect & Expired) Calls Volunteer: Receives a monthly report of prospective and expired members, and calls to ask about re-joining. Results are reported to the Membership Committee. 1 to 2 hours per month.  

Office Visits Volunteer: Plan and executes (2) corporate visits per year to educate and recruit new meeting planners.  Follow up with those in attendance. 1-2 hours per month.

  
Membership Drive: Implements chapter reaching out to prospect and past members about membership opportunities. 10 hours
Chair of Student Membership: Oversees the student membership sub-committee, recruits volunteers for tasks, delegates tasks to committee members.  3-4 hours per month.

Student Engagement Volunteer: Connect with students registered to attend monthly meetings and other chapter events.  Assist with questions student members/potential student members may have.    1-2 hours per month.  
College Visit Volunteer: Works with area colleges/universities/higher education institutions to schedule (2) visits to classes/organizations throughout the year to promote MPI. Most work typically occurs in Sept/Oct and Jan/Feb.  1-2 hours per month.

Leadership Development positions

Volunteer Engagement Chair: Manage the volunteer engagement committee and are the go to person for volunteers and connecting to sub-committees.  2-3 hours/month.

Volunteer tracking/Pool: The keeper of the new volunteer tracking grid for all of the committees. Help manage volunteer needs from all chapter teams and forward to MarComm committee to be posted.  Maintain a listing of chapter volunteers who would like to be called upon to help fill in to support a single task or event. 2-3 hour/month.

Year End Volunteer Recognition: Create several new ideas for volunteer recognition and give to VP & Director of LD to present to the BOD. Program manage the implementation of the recognition.  8-10 hours.

Volunteer Drive: Implements chapter reaching out to current members about volunteer opportunities. 10 hours.

Monthly Meeting Table Volunteer: Manages table at monthly meeting to promote volunteering and membership. 6 hours.

Leader of the month: Collect nominations from the BOD each month, format into a voting form and send to VP Leadership one-week prior to each Board of Directors meeting. 30 min/month.

Leadership Chair: This chair position supports the Director of Leadership Development with leadership succession planning, all team meetings, and the September Chair/Director training. 2-3 hours/month. 

SOP Program Volunteer: Collect updated org charts and job descriptions from all committees and forward to MarComm committee to brand and posted on web site. 5-7 hours during July and/or August only.

Leadership Succession: Work with BOD on promoting the board and solidifying 2 members for each board position. Help promote knowledge and education around board positions 1-2 hours a month.

All Team Meetings Volunteer: Work with Director of Leadership Development for content and training for the two occurrences of All Team Meetings.
